This policy explains how Activisure collects, uses, and protects your personal data when you use our coaching platform. We are committed to keeping your information safe and being transparent about how we use it.

Activisure is a UK-based sports coaching platform that connects coaches with clients, enabling session management, payments, and progress tracking. References to "Activisure", "we", "us", or "our" in this policy refer to Activisure Ltd.

2. What Data We Collect
Account Information
- Name and username
- Email address
- Password (stored securely as a hashed value — we never store your plain-text password)
- Profile picture (stored as an encrypted image)
- Sport or coaching discipline
- Role (coach or client)
Coach Profile Information
- Biography, qualifications, and experience
- Session types and pricing
- Availability settings
- Public profile visibility preferences
- Stripe Connect account details (managed by Stripe — see Section 6)
Session and Activity Data
- Session bookings, dates, and times
- Session notes written by coaches
- Client reflections and feedback
- Training plans and goals
- Shared media links (e.g. YouTube, Google Drive)
Payment Data
- Transaction amounts and dates
- Platform fee records
- Payout status and history
- Payment card details are never stored by Activisure — they are handled directly by Stripe
Communications
- Messages sent between coaches and clients through the platform
- Support messages sent via the Help page
Technical Data
- Device push notification tokens (to send you relevant alerts)
- App usage logs for debugging and performance monitoring
3. How We Use Your Data
We use your personal data to:
- Create and manage your account
- Enable coaches and clients to connect and book sessions
- Process payments and distribute payouts to coaches via Stripe
- Send transactional notifications (session confirmations, reminders, payment receipts)
- Provide customer support
- Improve and maintain the platform
- Comply with legal obligations
We do not use your data for advertising or sell it to third parties.
4. Legal Basis for Processing (UK GDPR)
- Contract performance — processing necessary to provide the service you've signed up for
- Legitimate interests — improving the platform, preventing fraud, and ensuring security
- Legal obligation — complying with applicable laws and regulations
- Consent — where you have specifically opted in (e.g. push notifications)
5. How We Share Your Data
We share data only where necessary:
- Between coaches and clients — profile information, session details, and messages are shared as needed to deliver the service
- Stripe — payment processing and coach payouts (see Section 6)
- Resend — transactional email delivery (e.g. verification codes, booking confirmations)
- Expo — push notification delivery via Expo's notification infrastructure
All third-party providers are contractually required to handle your data securely and only for the purpose we share it.
6. Payments and Stripe
Activisure uses Stripe to process all payments. When coaches connect their bank account or clients make payments, this data is handled directly by Stripe under their own privacy policy.
Activisure charges a 5% platform service fee on each session payment, split equally between the coach and client. Financial transaction records are stored in our database to provide payment history within the app.

7. Data Retention
We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes (e.g. payment records, which may be kept for up to 7 years in line with UK tax law).
8. Your Rights
Under UK GDPR, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — request deletion of your personal data ("right to be forgotten")
- Restriction — ask us to limit how we process your data
- Portability — receive your data in a machine-readable format
- Objection — object to processing based on legitimate interests

9. Data Security
We take the security of your data seriously. Measures we have in place include:
- Passwords are hashed using bcrypt before storage
- All data is transmitted over HTTPS/TLS
- API keys and secrets are stored as encrypted environment variables, never in code
- Access to production systems is restricted to authorised personnel only
10. Cookies
The Activisure mobile app does not use cookies. Our website (landing page and hosted pages) may use essential technical cookies to ensure the site functions correctly. We do not use tracking or advertising cookies.
11. Children's Privacy
Activisure is not intended for use by anyone under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with their data, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this policy from time to time. When we do, we will update the date at the top of this page and, for significant changes, notify you by email or in-app message. Your continued use of Activisure after any changes constitutes acceptance of the updated policy.
